Description of Duties and Responsibilities of Officers

Overview of duties and responsibilities for all officers:

All elected Officers of VOTF are expected to:

  • Subscribe fully to all three goals, officers are elected nationally and should represent everyone’s commitment to VOTF.

  • Agree to serve a two year term.

  • Fund their own transportation. There is no expense account associated with any of the nationally elected offices.

  • Be available for an increase in number of calls and committees in crisis or emergency situations.

  • Have unlimited long-distance phone capability because all conference calls are conducted using a conference call facility which requires long-distance dialing.

  • Work closely with the Executive Director.

  • Work collaboratively with the President in the implementation of the strategic action plan.

  • Be available and ready to participate in responding to critical situations.


President

Duties:

  • The president has overall responsibility for the operation of VOTF.

  • The president must keep the Board of Trustees and existing VOTF committees and work groups informed about critical developments and major activities of the organization.

  • The president is an ex-officio member of all committees of the Board of Trustees.

  • The president is the primary spokesperson for the organization to the media and to constituencies of the Catholic Church.

  • Develops institutional relationships with constituencies of the Catholic Church.

  • The president works closely with the Executive Director and Treasurer on developing the annual plan and budget.

  • Oversees Executive Director and staff (indirectly) in the operations of the organization and the implementation of the annual plan.

  • Must be able to address situations of conflict with the ability to resolve.

Position Requirements:

Time: 20+ hours per week

Willingness to travel

Meetings: 4-6 per week (in person and/or telephone)

Good public speaker


Vice President

Duties:

  • In the absence of the President, performs the duties of the President.

  • Serves as the right hand to the President in: developing agendas for weekly Officer calls, serving on committees (branding, platform team of the strategic plan and others) either with the President or in place of the President).

  • Other duties as may be assigned by the President.

  • Works closely with the President and other officers in addressing strategic, tactical and operational issues that affect the organization, including short-term and long-term matters of organizational governance, policy development and planning.

  • Works regularly with the President and the Executive Director in the execution of governance issues and planning.

Position Requirements:

Time: 10 to 20 hours per week

Meetings: 2-3 per week

Travel: local and some possible national travel

Public speaking a plus


Treasurer

Duties:

  • Assists Executive Director and President to prepare the annual budget.

  • Monitors spending relative to the budget and prepares monthly financial report for the Board of Trustees.

  • Assists auditors to file annual State and Federal tax returns.

Position Requirements:

Time: 10-20 hours per week

Meetings: 2-3 per week

Travel: limited travel requirements

Experience: non profit financial/ accounting experience required


Secretary

Duties:

  • Acts as recording secretary at all meetings of the Board of Trustees and prepares minutes of meetings.

  • Maintains corporate records of minutes of Board of Trustees meetings.

  • Responsibility to oversee a system for ensuring the proper collection of VOTF records involving committees and task forces.

  • Works closely with the President and other officers in addressing matters of organizational governance, policy, and planning.

Position Requirements:

Time: 10-20 hours per week

Meetings: 2-3 per week

Travel: many meetings can be attended via conference call but some require personal presence

Previous experience a plus
